CEO Assistant
1. About Us
NanoFrontier is a research-driven startup built around a proprietary nanoparticle generation technology developed over many years at Tohoku University. We provide end-to-end, in-house capabilities—from material design to mass production and quality assurance—for materials used in energy, environmental, pharmaceutical, and other fields. We also offer contract manufacturing of nanoparticles and technology licensing, and are rapidly advancing joint research and PoC projects with manufacturers and academic institutions from Sendai (main base) and Tokyo (collaboration base).
2. Role & Responsibilities
This role creates an environment where the CEO can focus on the company’s future vision, and maximizes the speed of business execution. You will support the CEO’s entire decision-making process: optimizing schedules and tasks, designing internal and external communication, and organizing the information needed for management decisions.

3. Key Responsibilities
- Schedule & task management: Optimize the CEO’s schedule, coordinate meetings, and organize priorities so the CEO can focus on key decisions
- Internal & external communication: Handle communication with internal and external stakeholders on behalf of the CEO
- Document preparation & research: Assist in preparing management meeting materials, proposals, and reports; gather and organize the information the CEO needs to make decisions
- Meeting operations support: Own the full cycle from agenda preparation and minutes to follow-up on decisions
- Management administration support: Broad back-office support for running the organization, including invoicing and contract paperwork and various applications and filings
4. Requirements, Skills & Experience
Required
- Alignment with NanoFrontier’s business and mission
- Willingness to learn, on your own initiative, the technical knowledge needed to understand the business
- Self-direction: someone who thinks and acts proactively rather than waiting for instructions
- Ability to multitask and move several workstreams forward at once
- Experience using SaaS tools such as Notion and Slack
Preferred
- Aspiration toward a future career in corporate planning, business development, or similar
- Corporate planning experience at a consulting firm or operating company
- Experience using AI tools (ChatGPT, Claude, etc.) in daily work
- Business-level English (able to handle email and meeting coordination with overseas partners)

5. Location & Work Style
- Location: Sendai or Tokyo (negotiable)
- Employment type: Full-time employee / Contract employee / Independent contractor (negotiable)
- Work style: Hybrid (4 days per week; a few hours a day is fine)
- Work hours: Full flex (core hours 10:00–16:00)
